Human Resources Information System

Personal Information System is also known as the human resource information system. Human resources are on of the most important resources of an organization which needs to be efficiently managed and utilized.

HR managers make a number of decisions related to the human resources so as to efficiently control the various functions and activities of personal management.


Some of the important functions of the personal management are

  1. Deciding about the manpower requirements of the organization.
  2. Identifying the existing future of potential workforce.
  3. Attracting qualified and competent people for the different jobs from the potential workforce sources.
  4. Designing a selection process involving valid and reliable teste, interviews, evaluation and selection of personal according to their job responsibilities.
  5. Training is another HR activity which is used to fill the gap between the employee's requirements and the job requirements. In the highly dynamic environments the identification of training needs and developing good training program is a very important function of the human resource managers.
  6. Performance evaluation is another important HR function which is done according to evaluation and techniques to evaluate the performance of the employee for the various purposes.
  7. Another HR function is related to retirement, resignation and death of a employee. The reason of the frequent switchovers by the employees and employee-employer relationship etc. are also studied for the good personal management.
  8.   Salary and wages management is another function of the personal system.

Human resources management system is uses to provide the decision making information related to all the above mentioned function of the personal management. The system processes the input data from the various sources to provide the output information related to manpower planning and analysis.

The various types of input data to the human resources information system includes employee information, daily performance, availability of the work force, trends in work force, governments and labor laws, various organization plans related to the recruitment, job assignment future planning etc.

At the strategic level human resources information system helps to identify the manpower requirements such as skills, educational level, type of positions, number of positions and cost etc for meeting company's long term business plans.

At the management level the system helps the managers to monitor and analyze the requirement, allocation and compensation to the employees. At the operational level the system helps the requirement and placement of the employees. 

  

Quality Control Information System
Quality control information system is basically a subsystem of the production information system. During the manufacturing process the raw material is passed through many stages such as the goods in process to the finished goods. Quality control makes sure that the raw material and purchased components used during the manufacturing process are according to quality standards set for those type components. 

Another function of the quality control system is to make sure that the quality standards are followed and maintained during whole of the manufacturing process cycle. 

Quality control data is collected using a number of input devices such as counters, assembly line data entry terminals, process control sensors etc. workers are assembly line terminals to entry terminals to enter the regarding the status of goods as well as the finished goods. 

The amount of worker time used used during each phase of the manufacturing process is also inputted to the system. The system also uses process control sensors to monitor the gauge and size of the product during its manufacturing process starting from the raw material.

Shop floors can use robots to handle, load, weld or paint parts; programmable controllers are used to control and sequences the processes; vision systems are used to monitor and sort the processes; computer driven lathe; CAD/CAM systems; bar code readers are used to count or sort the parts; and also during the production process the workers can use on floors terminals to enter the data such as piece count of the finished or in process products, the number and the type of waste and scrap materials.

So by using the above mentioned means the data is collected to test and monitors the items that fails to meet the quality standards that have set for that items. Similarly if there is a quality variance on the raw material or purchased parts it is reported back to the concerned party.    

Since organization use a local area network to connect their computers, main frame or mini computers with the other quality control equipment and gadgets, so if some quality variance is observed during the manufacturing process the quality control system can shut down the production system and report the matter to the supervisory control. Similarly if there is some quality problem with the finished goods then these items should not be placed in the inventory. 

In the organizations that follow total quality control everyone in the production chain is responsible for the quality and special emphasis is put on the prevention of defects rather than on the measurement or inspection. Quality control system are automatic and directly embedded in the production process. 


Telemarketing system 
With the increase telecommunication facilities organizations are extensively using the telephone to sell products and services. Telemarketing has improved the productivity of the sales people.
   
Telemarketing allows salespersons to sell products and services, or follow up on sales without travel costs and time. Telemarketing gives the salespeople an easy and fast approach to meet a large number of customers in the limited time period.

Telemarketing system includes support for the automatic dialing of parties. This system can also deliver voice messages under the control of a computer system. This system allows the users to generate follow up letters, and to view a customer file while the call to a customer is in process.

Telemarketing system uses computers for identifying the customer through online customer database and automatically calls them. Telemarketing has helped many organizations to increase their ales and gain market share while decreasing costs per sale.
